Participant Guidelines

Speaker Presentation Guidelines

Your efforts in maintaining the meeting schedule, which benefits all attendees, is deeply valued. Do keep in mind the following guidelines:

    1. Organizers reserve the right to alter the duration of the presentations/talks to accommodate the overall conference agenda. The preferred language of all the presentations including oral, poster or video presentations is English and all the relevant submissions should be made in English.

Preparation for Presentation

Presenters should keep in mind the following pointers before going for a presentation: Speakers should bring their USB device to the check-in area at least 2 hours before the commencement of their talk as the technical team will pre-load the presentation to the networked system. Speakers can also use their own devices and/or gadgets for their presentations. Make sure that the laptop you are using for presentation is loaded with Windows 7/10; MSOffice 2007/10 Pro English (Word, PowerPoint, and Excel) and Adobe Reader. Microphones, laser pointers and LCD projectors will be provided at the conference. Speakers who have not submitted the details of their presentation to the organizing staff or session chair should be ready with their devices in the session room at least 15 minutes before the start of the session.

Recording and Photo Policy

For promotional purposes, there may be a photographer and video recording for dissemination on the website and other mediums. Speakers who do not wish to be photographed/recorded should intimate the session chair well ahead of their session or to the organizers present at the registration desk.

Organizing Committee Member Guidelines

This document discusses in detail the roles and responsibilities of the Organizing Committee. It documents activities and should be used to provide a general guidance.

Roles and responsibilities of Organizing Committee Members

The Organizing Committee Members are free to recommend appropriate sessions/tracks which are in accordance to the conference topic and theme. They should define the goals of all committee members and ensure that each of them plays a part in the overall success of the conference. Meanwhile, the Chair of the Committee is responsible to organize, schedule and allocate assignments to its members increase the scope of the conference.

Organizing Committee Members should take responsibility for the peer review process and established conference schedule by beginning and closing all events at prescheduled times avoiding any delays. They might suggest high-profile speakers and promote the conference to budding writers and delegates. The members are responsible to organize key ideas ahead of the conference and assist in making right decisions. They will also need to identify potential sponsors and advertisement opportunities.

Roles and responsibilities of Program Committee Members

The Program Committee Members should recognize their responsibilities and act accordingly. They should familiarize with other members of the committee and steer in proposing latest activities and services that will further the organization’s goals and mission. The members should participate for distinct parts of abstract review and conference sessions. They should ensure that the preparation and distribution of conference materials is done well in advance. If needed, specific conference sessions may also be held.

The Program Committee Members may serve as Session Chair on the advice of the Conference Chairs. They should provide administrative assistance to the Chair and facilitate communication between the Committee, Management and Attendees.

The members of the committee will be rotated after two or three successive instances if they are found to be inactive or reflect negligible involvement. This is undertaken to support the interests of the organization to increase its efficiency and also to make space for new members to join the committee.

Poster Guidelines

Posters are a popular presentation format for research; and hence making them an important element of any successful scientific career. Participants may consider using posters to showcase their work to a huge audience base in one go. Here are a few guidelines for poster presentation:

Best Poster Awards At the end of a conference session, 3 top posters by students awarded. Here are the criteria: • The work represented in the poster must belong to the student • The poster must be prepared and presented by the student • The student must have registered for the conference (as student registration)

Young Investigators, Post-doctoral fellows, Post-Graduate students, Trainees, Junior faculty with a minimum of 4 years of research experience and under the age of 35 years are eligible for ‘Young Scientist’. Each presenter can submit only one paper (as first author or co-author) and only in English. The presentation must be into scientific sessions of the conference.

Registration Policy and Cancellation Policy

United Conferences suggests you to register for the correct Event and choose the correct slot of accommodation relevant to your requirements. If a registrant is unable to attend an event for any reason they may substitute, by arrangement with the registrar, someone else from the same institute/organization.

Online Registration:

Register online with a credit card for the respective conference, generally online registration is encouraged. We recommend using the latest version of Firefox, Chrome and Internet Explorer as your browser during the online registration process. Purchase Order for registrations paid by cheque cannot be processed online. Please use the Mail form to register with a Purchase Order or cheque.


After completing the transaction, the participant/applicant receives the confirmation receipt from the respective conference secretariat within 24 hrs after receiving the confirmation from the finance department.
