Accommodation & Cancellation Policy

The rooms will be booked by Innovation Info Conferences (IIC) for participants who opt package. Requests for single room/double room shall be notified to us well in advance, unless specified otherwise all the accommodation request will be considered single room occupancy.

Accommodation Providers (Hotels) have their own cancellation policies, and they generally apply when cancellations are made less than 30 days prior to arrival. Please contact us as soon as possible, if you wish to cancel or amend your accommodation. Innovation Info Conferences will advise the cancellation policy of your accommodation provider, prior to cancelling or amending your booking, to ensure you are fully aware of any non-refundable deposits.

Package A – Includes all 8 benefits as for registration + 2 Nights’ accommodation during the conference + breakfast during the conference (18th and 19th Night of November 2024).

Package B – Includes all 8 benefits as for registration + 3 Nights’ accommodation during the conference + breakfast during the conference (18th , 19th and 20th Night of November 2024).

Accompanying Person

  1. Access to the opening ceremony.
  2. Refreshments during the conference.
  3. Accompanying person can also attend the conference.
  4. None of the above (Registration / Package A / Package B) includes accompanying person.
  5. You need to pay separately for accompanying person besides your regular Registration / Package A / Package B registration.

Conference registration fee

Innovation Info Conferences – IIC offers an all-inclusive registration fee, which includes attendance at all sessions during the conference, certificate accreditation from the advisory board/organizing committee members, Two Coffee breaks (Refreshments and snacks) during the conference and meeting fees. Advanced registration is required, and attendees are encouraged to register before the early-bird deadline to avail discount.

On-site registration is permitted only for those who can confirm their participation by sending itinerary details 1 month prior to the conference.

Accepted participants are requested to pay a registration fee by visiting the respective conference page and consenting to the registration policies. Your registration is only confirmed after the payment has been received. Registration and payment forms will be available on the respective conference web page. The registration fee includes admission to conference meeting, conference materials, Lunch tea/coffee-breaks, WiFi in meeting rooms.

Failure to register and to pay the conference fee before the deadline will result in the participant's name being removed from the Conference Programme and the List of Participants.

Rules of Participation

The working language of the conference is English. Participants are expected to secure their own funding and make travel arrangements independently; the organizers will not issue any visa invitations. The organizers will provide an invitation letter on our organization letter head for only registered participants stating their topic of presentation and date of the event. Further, requisitions for invitation letters for visa purposes will not be entertained for individuals who haven’t registered for the conference.

Should you find out that you are no longer available take part in the conference, please notify the organizers as soon as possible by writing to contact@infoconferences.com. Innovation Info Conferences maintains no refund policy provided that if any cancellation is made either by participant / organizer the registration will be transferred towards any of the upcoming Innovation Info Conferences (IIC).

Oral sessions entail presentation of accepted abstracts on a related topic or theme, followed by structured discussion of those abstracts.

Registration Categories

Academic: This registration is applicable for experts involved in current research activities from universities and colleges, societies, labs and research associations. The minimum requirement for being a speaker is to be a doctorate and above.

Business: All the business delegates and companies shall register under this section. Participants from companies cannot opt for academic registration.

Delegate Registration: The delegate registration is meant for people who can just attend the conference without presenting any paper/research. Individuals who opt for delegate participation are not eligible for oral presentation. However, if you need to present a poster you need to pay a poster fee separately besides the delegate registration fee.

Group Registrations: Any University/ Company/ Lab could participate as group presenting oral/poster presentations. Group of 5-10 members will receive 10 % discount on Package A or B; Group of 11- 20 members will receive 15 % discount on Package A or B; Group of 21-50 members will receive 20% discount on Package A or B.

Invoices

Invoices will be sent (university or company) without VAT (except Spain). Any taxes if applicable will automatically be included.

Payment must be made in Dollars by PayPal, credit card or bank transfer through the registration system (all bank charges and commissions must be paid by the participants). Please note that your invoice will be issued in Dollars. A confirmation e-mail will be sent to you after a successful registration. If you encounter any troubles, please contact the conference organizers at contact@infoconferences.com.

The invoice will be issued using the billing details provided on the registration online form, so please ensure to provide the correct information: institution/company name, address and VAT number.

VAT is applicable on all conference registration fees to individuals, EU institutions without valid VAT number (Business transaction subject to law of the land).

Discounted Group registrations cannot be processed online; When registering more than one person under one company/University/Lab? Organization/identity/invoice, please contact the Innovation Info Conferences (IIC) to determine the preferred invoicing setting for group registrations.

One Day Registrations: Access to main conference sessions, exhibitions, poster sessions, Conference material, Tea / Coffee breaks and lunch during the conference for a day.

Oral Presentation: The Time duration for oral presentation is 30 minutes. The minimum requirement is the participant should have at least a doctoral degree.

Keynote Presentation: The duration for keynote presentation is 45 minutes.

Workshop: Workshop entails structured discussion of a topic/theme. Participants of a workshop will talk with each other and with the audience about a common topic on which they have diverse experience or perspectives. Discussion and question-and-answer between speakers, and especially between speakers and audience, are key features. Proposals for Workshop should be submitted at least 2 months ahead of the conference. The time duration for the workshop can last 1 hour to 1 hour 30 minutes.

If any speaker wants to organize a workshop besides a talk, he/she could do so by submitting a separate abstract for the workshop through communication channels and inform at least 2 months prior to the conference.

Students: The students can opt for poster presentation. Those students who are willing to give a talk shall register under Young Researcher Forum (YRF) category. The poster presentations can be presented by students and delegates. The poster size should me 1m X 1m. All the participants should bring along the adhesive that would not peel off the wood / wall / cause any damage to the venue setting. The poster timings will be notified in the final program 15 days before the conference dates.

Poster Session entails presentation of accepted abstract for poster presentation by the scientific committee of the respective conference.

Abstract Submissions: The Programme Committee will consider proposals for individual abstracts. Abstract proposals will be accepted only if they can be fit into a coherent sessions / in accordance with the title and theme of the conference, and if that abstract is then approved by the Programme Committee.

Multiple Presentations Rule: A conference participant may give multiple presentations during the conference with a cap on not more than 3 talks per day per person. However, the presenter needs to submit separate abstract for each presentation (Also, a participant may appear as a co-author of another paper presented by another participant). If you submit more than one paper proposal, the Programme Committee has the right to approve or reject the proposal of the abstract.

Student Participation: Graduate student participants should be at the research-stage in their programmes. Graduate students should not, as a rule, be designated as speaker on the session. The students can present a poster and present a talk under Young Researchers Forum (YRF).

Method of Payment

  1. Registration will be confirmed once payment is received and processed. The following credit cards are accepted for payment VISA, Master Card, American Express (online transaction). Participants will not be eligible to avail discounts if registered online. In that case, you need to provide us the discount coupon code sent to you so that we can send you an invoice accordingly with discounted amount. Wire transfers are also considered for mode of payment.
  2. Please bear in mind the registration will not be confirmed unless accurate proofs against your registration are obtained and confirmed either through the bank or payment service providers.

  4. Initial 30 registrants can avail 20 % early bird discount on their registration fee (T&C apply).

Cancellation by an Organizer

The participant acknowledges that he/she has no right to lodge claims against the organisers should the holding of the event be hindered or prevented by unexpected political or economic events or generally by force majeure (unforeseeable circumstances that prevent someone from fulfilling a contract), or should the non-appearance of speakers or unavailability of onsite coordinators due to visa issues or other reasons that necessitate programme changes. With registration, the participant accepts this provison.

Cancellation by a Participant

If your plans change and you need to withdraw your registration, please do Inform 90 days prior to the commencement of the conference. Your registration will be transferred towards upcoming Innovation Info conferences which must occur within one year from the date of cancellation. Please make a note that there is no refund under any circumstances.

Cancellations received less than 90 days prior to commencement of the conference are also eligible for a transfer of registration towards another upcoming Innovation Info Conference because IIC must pay our venues regardless of whether or not you actually attend. Finally, if you cannot attend the entire conference for any reason, IIC will not be able to refund your registration fees.

Keeping in view of advance payments towards Venue, Printing, Shipping, Hotels and other overheads, we had to keep refund policy is as following slabs- Monetarily there is no refund. However, the registration fee is automatically transferred towards another upcoming IIC meeting which must occur within one year from the date of cancellation. Please make a note that there is no refund under any circumstances. A process fee of $150 is applicable for transferring the registration towards another upcoming conference. E-Poster payments will not be refunded. The registrations with discounted prices are transferable but not refundable at any point of time.

Letter of Invitation

Invitation letter will be sent only to those individuals who have registered for the Innovation Info conferences. Once your registration is complete, please email us requesting a formal letter of invitation at contact@infoconferences.com

Registration Prices

Registration prices will be changed periodically as per the dates and Innovation Info conference will hold full rights in changing the registration prices of conference.

Acknowledgement Receipt

Important Notice

  1. Innovation Info Conferences (IIC) does not, in any way, financially oblige, for the expenses you incur for travel and conference attendance, and all conference participants are expected to pay the registration fees according to conference policy.
  2. If you experience any delay or decline status for your payment, do not panic. Sometimes there may be a technical issue or server breakdown. In whichever the case notify us immediately at contact@infoconferences.com, our technical team will resolve the issue as soon as possible.
